1. Who this applies to
This policy covers two groups of people:
- Reps — sales agents who sign up to NEO and connect their WhatsApp number so NEO can help them reply to clients. - Clients — the people the rep is talking to on WhatsApp. NEO helps the rep draft replies in real time.
If you're a rep, your account data is yours. If you're a client of one of our reps, you're talking to a human-managed account — you can ask the rep to turn off AI replies at any time.
2. What we collect
From reps - Your phone number and your name, so we can identify your account and introduce you to clients. - A short PIN you choose at sign-up. We never see it in plain text — only you can use it. - Your sales preferences (default language, tone, opt-out flags). - The messages you send by hand, so NEO can learn how you naturally write and match your style. - Any project details you choose to add (developer, units, prices, brochures, photos).
From clients (through your WhatsApp number) - Their phone number and WhatsApp display name (received automatically when they message you). - The messages and media they send you. - The status you set for the conversation (New, Contacted, Interested, Hot, Lost, Converted).
Automatically - Basic technical logs to keep the service running and fix bugs. Kept short-term for that purpose only. - Service-quality metrics like reply latency and delivery status.
3. What we use it for
- Run NEO so you can reply to clients faster. - Personalize replies to your own writing style — only on your account, never shared with other reps. - Keep your sales conversations separate from your personal contacts so NEO doesn't reply to your friends. - Authenticate you and notify you about your conversations. - Keep the service stable, prevent abuse, and stay compliant with WhatsApp's rules.
We do not use one rep's data to help another rep. Your style stays yours.
4. Who we share it with
- Our AI provider — we send recent conversation context so NEO can draft a reply. Our provider does not keep your data to train their models. - WhatsApp / Meta — your messages travel through WhatsApp's network as part of normal use. - Our infrastructure providers — kept in Europe under standard data-protection agreements.
We do not sell your data. We do not advertise to your clients. Your conversations are not used to train models that serve anyone else.
5. How long we keep it
- Your active conversations: while your account is active. - Technical logs: kept short-term, then automatically deleted. - Account data after a deletion request: removed within 30 days, except where Egyptian law requires us to keep specific records.

6. Security in plain language
We treat your account access and your conversations as the two most sensitive things on NEO.
- Everything you send to NEO is protected with industry-standard encryption — both while it's traveling and while it's stored on our side. - Only you can sign in to your account; we never see your PIN. - Access to live data is restricted to a tiny team and every access is logged. - We do not run ads, we do not sell data, and we do not share data with anyone outside the providers needed to run the service.

7. Your rights (GDPR + Egyptian Personal Data Protection Law 151/2020)
You can ask us to: - See the data we have about you. - Correct anything that's wrong. - Delete your account and the data tied to it. - Export your data in a simple, portable format. - Opt out of specific things, like having NEO learn your writing style.
Email any of these requests to hello@hereisneo.com — we respond within 30 days.
8. Children
NEO is built for adult sales professionals and is not intended for anyone under 18. We do not knowingly collect data from minors. If you become aware of such data, contact us and we will delete it.
9. Changes
When we update this policy, we'll update the "Last updated" date and notify active reps by email. Material changes get a 30-day notice before they take effect.
